Pre-Arrival

Initial Contact and Project Alignment

Upon application or inquiry, a Project Manager connects with the volunteer to discuss project options. The aim is to align their skills and interests with suitable projects that ensure meaningful impact.

Onboarding and Logistics Support

Once the volunteer’s project is confirmed, support is provided for logistical arrangements: 

 

Visa Assistance: Guidance and support with visa application process.

Vaccinations: Information and recommendations regarding necessary vaccinations.

Packing Guidelines: Advice on essential items to pack for their stay and work in India.

Safety Guidelines: Detailed briefing on safety measures and local protocols.

SIM Card: Assistance in obtaining a local SIM card for communication needs.

Pre Project Preparation

One month before the project starts, a team call is scheduled:

 

Job Roles: Detailed explanation of their responsibilities during the project.

Preparation: Guidance on any specific skills or knowledge they should prepare in advance to maximize their impact.

Transition Support

Regular check-ins and updates are conducted to facilitate a smooth transition for the volunteers. This includes addressing any concerns or queries they may have as they prepare to travel and volunteer in a new country.

Final Preparation before Arrival

(One Week Before Project Start)

 

– Collection of travel details (flight tickets, arrival times).

– Coordination of airport pick-up arrangements based on their travel schedule.

– Sharing of detailed project location and contact information well in advance.

This structured pre-orientation process ensures that international volunteers are well-prepared, informed, and supported at every step before they embark on their volunteering journey in India.

Arrival

Pre-Arrival Communication

– Volunteers share their arrival details including flight information with the organization.

– Pick-up details and contact information of the coordinator who will receive them at the airport are provided to volunteers in advance.

Airport Pick-Up

– Airport pick-up service is included in the project fee.

– A coordinator from the organization meets volunteers at the airport as per the scheduled arrival time to ensure a smooth transition from the airport to their accommodation.

Recommended Arrival Timing

– Volunteers are strongly advised to arrive at least a day before the project start date.

– Since most projects commence on Sundays, it is recommended to arrive by Friday night or Saturday morning.

– This early arrival allows volunteers time to rest and overcome jetlag before the orientation and project activities begin.

Complementary Stay

– Additional complimentary accommodation is provided for Friday and Saturday nights preceding the project start date.

– This accommodation helps volunteers settle in, adjust to the local environment, and prepare for the upcoming orientation and project activities.

Communication Tools

– Volunteers are encouraged to arrive with a SIM card that has an active calling and/or internet data plan for India.

– This facilitates easy communication between the coordinator and volunteers upon arrival and throughout their stay.

Orientation

Introducion & Welcome

– On the first day of arrival, volunteers are warmly welcomed by the project coordinator.

– An introduction to the local team and fellow volunteers is provided, fostering a sense of community and teamwork.

Orientation Session

A comprehensive orientation session is conducted to familiarize volunteers with:

 

– Project goals and objectives.

– Their specific roles and responsibilities.

– Safety guidelines and emergency procedures.

– Cultural norms and etiquette in India.

– Practical information about daily schedules, meals, transportation, and facilities.

Project Overview

– Detailed information about the project location, local community, and the impact expected from their volunteer work is shared.

– Volunteers have the opportunity to ask questions and clarify any doubts regarding their roles or the project.

Free Time Activities

Volunteers are informed about various activities available during their free time:

 

– Weekend trips to nearby attractions or cultural sites.

– Visiting local monuments and participating in cultural activities.

– Exploring nightlife options and recreational activities in the area.

Nightlife and Entertainment: Volunteers can experience the vibrant nightlife of the city, exploring markets, entertainment venues, and dining options. Weekends provide a well-rounded experience for volunteers to relax, explore, and connect, making the most of their time outside of their volunteering commitments in India.

 

We provide multiple weekend and evening activites for volunteers to register for before their travel or during their project to ensure they are able to use their free time exploring as much of Indias culture and local heritage as possible.

Accomodation & Meals

Accomodation

Stay in a volunteer house in Noida with other international volunteers

Share the room with one to three other volunteer of the same gender, become friends with people from around the world!

All basic amenities such as fully fuctional washroom with hot & cold water, Wifi, sleeping arrangement, dining & kitchen facilities and much more.

– Facility for private room is also available at an extra charge. Your Program Manager will guide you through the process of booking the same.

– Additional stay may also be booked at the volunteer house through your Program Manager.

Meals

All means i.e. breakfast, lunch & dinner will be provided during the course of the program.

You can expect the meals to be dominantly vegetarian. You may also access the kitchen and use basic amenities to cook for yourself & other flatmates. Additional groceries for personal use must be purchased on a personal expense. environment, and prepare for the upcoming orientation and project activities.

– A fully functional kitchen will have all amenities such as stove, fridge, microwave, water purifier, kettle etc

– Incase of dietary restraints, advance notice is requested so arrangements may be made. It is possible that all dietary conditions might not be met in case best possible solution may be offered to you by your Program Manager.

Things to Note

All programs attract a Registration Fee of USD 200 in addition to the Program Fee. This covers all pre-departure support services. The registration fee is valid for the entire year allowing you to continue using our travel support service after your volunteer project is over.

A 5% international banking fee is added at point of payment.
